Prices & Inventories – How to Update Products

This guide will show you how to use the Prices & Inventories tool to it’s full power. Search, edit, hide, highlight or restrict products using the guides below.


Basic Updates to Items


Find a product that you need to edit Stock, Price or Bottle Limit for. Select Quick Edit to open this menu. When you’ve completed the changes, click Update to save your edits.




Additional Updates to Items


To modify every other detail about an item, click on Edit beneath the product. This will open up a full table of elements that you can update. You can update the Product Name, Description, Images, Price (including sale prices and dates), Category & Subcategory, and Unit Size.

Note: You will see a section called Custom Size in addition to Unit Size. Custom Size will mirror Unit Size until it is changed. If you choose to change Custom Size field from it’s default [750ml (Standard)] to [BUNDLE 2 x 750ml], then your new entry will display on your app/website.

You may also want to update the image for any given product, especially if it is a more local item / custom product such as a bundle or gift box. To update the image, you’ll need to upload the file in two places.

First, in the Product Small Image area (this corresponds with the image on your website when viewed alongside other items).

The next place will be the Product Big Image, which corresponds to the image on your website when viewing this product specifically; i.e - when you can view all the product descriptions and tasting notes, pairings, etc.

When you want to add related items to a particular product (for example you want to add COKE as a related product when JAMESON is clicked on your website), you’ll click on the Related Items button to pull up a table where you will search for the desired item.


You’ll enter your search (“Coke”) and tick the plus sign (+) next to all applicable items. There will be a section at the bottom showing you all the Selected Products. You are able to remove any of these by click the trash bin on the right side.

Once you’ve added all your related items, click SAVE.

Report


When you notice an item having a wrong image, a category is pulling the wrong pricing from your POS, or any other discrepancy – you can use the REMARKS box to let us know what the issue with the item is and we can resolve it for you.

We know not every retailer has the bandwidth to update images and details for products in-bulk, so we will do our best to assist while you handle other things to make your App and Website AMAZING.


Filters and Sorting

We know you may carry several thousand products, so we’ve made it simpler to narrow down your search to update your items.
Simply select the dropdown for each filter you’d like to use and select your fields to narrow your search. Filter by Liquor > Bourbon and Sort: High to Low and you’ve got a list of your Top Shelf Bourbons.

Futhermore, you can sift through the items with a fine tooth comb by selecting even more Product Filters. These will help you locate items that meet particular criteria on top of your general search queries.

Lastly, you can download your filtered search results using the red Download This View button at the top right.



Product Checkboxes & Uses


There are currently 4 different checkboxes that serve specific functions to your products. When you click one, there will be a prompt signaling “Your product has been updated successfully”. When you close the prompt, you can update another box.

The first box is the Allocated Checkbox.

When an item has the checkbox marked, the product will be removed from visibility on the app and website and restrict the customer from ordering it online.  

Use this if:

  • You don’t want customers to see certain items on your digital shelf.
  • You need to remove the item quickly so it can be updated.
  • There are duplicate items and you want to reduce customer confusion.

Next is the Discountable Checkbox

When this box is marked, it indicates that this item can receive a discount by way of coupon or wine case discount. *All items will have the discountable flag marked YES by default. To change this, you’ll want to remove the mark from this checkbox.

            Remove this if:

  • A discount will reduce this item below its cost.
  • The product has lower-than-typical margins than your other items.
  • You want this product to contribute to the quantity of a case discount, but not receive the discount itself. 


The In-Store Only Checkboxes

When you mark this checkbox, it will tag the product with an “IN STORE ONLY” banner and restrict the customer from ordering the product on your app or website. This operates similarly to the Allocated Checkbox,  but the product will remain visible as to let the customer know that you do carry the item, but must be purchased in-person.

Use this if: 
  • You want customers to see your rare & expensive bourbons/wines, but only want them purchased in your physical store.
  • You want to mark an item as “in store” when you have low-stock to avoid over-selling the product.
  • You can add these items to a Home Page Section titled “Loyalty Bourbons” and prominently display this on your app & website.

Include Marketplace

If you’re using Bottlecapps to send your inventory feed to DoorDash, Instacart, GrubHub etc…, then this checkbox affects your store. By default, all items will have this checkmarked. This means the Bottlecapps is sending this product to the Marketplace. By unchecking this box, you will have this product removed from the next file that Bottlecapps sends to applicable Marketplace providers.

Use this if:

  • You don’t want your product to show on DoorDash but do want it showing on Bottlecapps.
  • This product is not profitable on other marketplaces due to your margins on this item.
  • You just want the items to be shopped on YOUR website or In-Store only.
